Membership Terms
Last updated: October 2026
These Membership Terms apply to memberships provided by ROUND WHITE CITY LTD (“ROUND”, “we”, “us” or “our”). They should be read together with our General Terms & Conditions and Privacy Policy. By purchasing a ROUND membership, you agree to these Membership Terms.
1. Membership
Membership gives the named member access to the benefits included in the membership package purchased. Membership is personal to the member and may not be transferred, sold or shared with another person unless ROUND expressly permits this. Current membership benefits and prices will be displayed on our website before you join. Members must be aged 18 or over.
2. Personal Membership
Our Personal Membership currently includes the benefits displayed on the ROUND website, including:
- 6 pre-bookable bay hours per membership month;
- complimentary same-day bay access where available;
- advance booking privileges;
- guest privileges within the permitted capacity of the booked bay; and
- applicable member discounts on food, drink and golf lessons.
Membership benefits are subject to availability and these Membership Terms.
3. Same-day complimentary play
Same-day complimentary play is intended to give members flexible access to unused bay capacity. It is:
- subject to bay availability;
- available only on the day of play;
- not guaranteed;
- not capable of being reserved in advance as part of the complimentary walk-in benefit; and
- subject to reasonable usage and venue operating requirements.
Pre-booked membership hours should be used where a member wishes to guarantee a specific future date and time. ROUND may operate reasonable session lengths or other measures for complimentary same-day play where necessary to ensure fair access for members.
4. Pre-bookable hours
Included pre-bookable hours may be used subject to availability and the advance booking window applicable to the membership. Unused pre-bookable hours expire at the end of each membership month and do not roll over into a future month. Hours have no cash value and cannot be sold or transferred. Any additional booking above the included membership allowance will be charged at the applicable member or standard rate.
If you cancel a bay booked using your included hours, or do not attend, the hours will be returned to your allowance for that membership month. Returned hours still expire at the end of the membership month in the usual way. Repeated late cancellations or no-shows that stop other members from booking may be dealt with under the Fair use section.
5. Guests
Members may bring guests when using a bay, subject to the maximum permitted bay capacity and any applicable venue rules. The member must normally be present with their guests and is responsible for ensuring that their guests comply with ROUND’s venue rules and General Terms & Conditions.
There is no charge for guests joining a member in their bay, but the total number of people in a bay, including the member, must not exceed the maximum capacity of 8.
6. Membership discounts
Any food, drink, golf lesson or other membership discount applies only in accordance with the membership benefits published by ROUND. Unless stated otherwise:
- discounts are for the member and eligible member transactions;
- discounts cannot normally be combined with another promotion;
- discounts have no cash value; and
- certain events, packages, promotions or third-party services may be excluded.
7. Membership fees
The membership fee applicable when you join will be clearly displayed before you complete your purchase. Membership fees are collected monthly in advance using the payment method registered to your account and will normally be collected automatically on or around the same date each month. Standard memberships are subject to an initial minimum term of 3 months and then continue on a monthly rolling basis until terminated in accordance with section 11. You must keep your payment information up to date.
8. Joining fee
A one-off joining fee of £100 is payable when you join, unless a promotion applies. The joining fee includes £50 of bar credit and one complimentary golf lesson.
The bar credit and complimentary lesson must be used within 3 months of your membership start date. Any credit or lesson not used within that period will expire. Bar credit can be used at the ROUND bar only, has no cash value, cannot be exchanged for cash and cannot be transferred.
The joining fee is not refundable once your membership has started, except where you cancel within a statutory cooling-off period, in which case it will be refunded less the value of any bar credit or lesson you have already used.
9. Failed payments
If a membership payment cannot be collected, we may contact you and attempt to take payment again. Membership benefits may be suspended while payment remains outstanding. We will not charge disproportionate penalties because a payment has failed.
10. Starting your membership
Your membership begins on the date confirmed when you join. Before completing your purchase, we will provide the key information about the membership, including:
- price;
- the joining fee and what it includes;
- payment frequency;
- key benefits;
- the initial minimum commitment of 3 months;
- how the membership renews;
- how to cancel; and
- when cancellation takes effect.
Where applicable, we will also provide information concerning any statutory cooling-off rights.
11. Cancellation by the member
After joining, you may give notice to terminate your membership through your membership account where available or by contacting us at help@roundclub.com. At least one month’s notice is required. Notice may be given during the initial 3-month minimum term, but membership cannot terminate before the end of that minimum term.
Membership fees remain payable during the minimum term and throughout the one-month notice period. Your membership benefits will continue until the effective termination date. Once termination takes effect, no further recurring membership payment will be taken. Any statutory cancellation or cooling-off rights available to you are unaffected.
12. Cooling-off rights
Where applicable law gives you a cooling-off period for a membership purchased online or at a distance, ROUND will honour that right. If you specifically request immediate use of membership services during a statutory cooling-off period, the amount refundable following cancellation may, where legally permitted, reflect services already supplied at your request. Full details of any applicable cooling-off right will be provided during the joining process.
13. Membership changes
From time to time we may need to change membership benefits, operating arrangements or membership fees. We will not make material changes unfairly or without reasonable notice. Where a proposed change materially disadvantages an existing member, we will provide appropriate notice and, where required, an opportunity to cancel before the change takes effect.
14. Suspension
We may temporarily suspend membership access where reasonably necessary because of:
- unpaid membership fees;
- serious or repeated breach of venue rules;
- misuse of membership benefits;
- fraudulent activity; or
- safety or security concerns.
Where appropriate, we will explain the reason for suspension and provide an opportunity for the member to resolve the issue.
15. Ending a membership
ROUND may terminate a membership where there has been a serious or repeated breach of these terms, fraud, threatening or abusive behaviour, deliberate damage, or serious misuse of membership privileges. We will act reasonably when exercising this right. Where ROUND ends a membership for reasons unrelated to the member’s conduct, we will provide an appropriate refund for any prepaid period that the member cannot use.
16. Venue closures and unavailable bays
Membership does not guarantee that a bay will always be available. Availability may be affected by bookings, private events, maintenance, venue closures or other operational requirements. Where possible we will give members reasonable notice of planned closures.
17. Corporate Membership
Corporate Membership is for businesses and organisations. It is a business-to-business contract, so consumer rights described in these Membership Terms, including cooling-off rights, do not apply to it, and the business customer terms in our General Terms & Conditions apply. Corporate Membership currently includes the benefits shown on our website, including:
- up to 8 nominated staff members;
- 10 pre-bookable bay hours per membership month, shared across the account;
- complimentary same-day bay access for nominated staff members, subject to availability;
- no guest charges when a nominated staff member is present, subject to bay capacity; and
- applicable discounts on food, drink, golf lessons and corporate events.
Corporate Membership fees are payable monthly in advance and are shown excluding VAT, which will be added at the applicable rate. Unless otherwise agreed in writing, Corporate Membership has the same initial minimum term of 3 months and one month’s notice period as Personal Membership.
The organisation must nominate its staff members through ROUND and may change them by giving us notice, up to the permitted number. The organisation is responsible for its nominated staff members and their guests, including their compliance with these terms and payment of any additional spend charged to the account.
Where separate written terms are agreed with an organisation, those terms will take precedence over these Membership Terms if there is any inconsistency.
18. Membership accounts
You are responsible for keeping your account login details secure. Please notify us promptly if you believe someone else has obtained unauthorised access to your membership account.
19. Fair use
Membership benefits are intended for genuine personal or agreed corporate use. ROUND may take reasonable action where membership benefits are being commercially resold, systematically transferred to non-members, fraudulently used or otherwise materially abused. Fair-use measures will be applied reasonably and will not be used simply to remove benefits from members who are using their membership normally.
20. General Terms
Our General Terms & Conditions, including provisions relating to behaviour, safety, equipment, liability, food and drink and complaints, also apply whenever a member uses the venue.
21. Your consumer rights
Nothing in these Membership Terms removes or reduces statutory rights that you have as a consumer.
22. Governing law
These Membership Terms are governed by the laws of England and Wales. If you are a consumer resident elsewhere in the United Kingdom, you may also have rights under the law applicable where you live.
